Terms & Conditions

Deposit & Payment Terms

  • A 30% deposit is required to secure any ad-hok projects.

  • The remaining 70% balance will be invoiced upon project completion and can be paid online.

  • The invoice must be paid within 7 days of issue.
     

Booking & Availability

  • Services are available Monday – Friday, 9 AM – 5 PM (excluding public holidays).

  • Projects must be made at least 7 days in advance to allow for proper planning.

  • Reactive work (less than 48 hours' notice) are subject to an additional 20% fee.
     

Cancellation & Rescheduling

  • Cancellations made 7+ days in advance: Full deposit refund.

  • Cancellations made within 3-6 days of the scheduled start date: 50% of the deposit is non-refundable.

  • Cancellations within 48 hours of project start: Full deposit is non-refundable.

  • Rescheduling is subject to availability and must be requested at least 3 days before the booked date.
     

Client Responsibilities

  • Clients must provide necessary content, images, and brand guidelines at least 3 days before the project starts.

  • Delays in providing materials may result in rescheduling and additional fees.
     

Late Payments

  • Invoices must be paid within 7 days of issue.

  • Late payments will incur a 5% late fee per week.

  • If the balance remains unpaid for 14+ days, the project may be paused until payment is received.
     

Refund Policy

  • Deposits are refundable based on the cancellation terms above.

  • Work already completed is non-refundable once delivered.

Design Ownership & Intellectual Property

 

Final Deliverables vs. Working Files

  • The client receives full usage rights to the final design deliverables (e.g., completed graphics, videos, social media content).

  • Editable working files, templates, and proprietary design processes remain the intellectual property of Concept Fusion Ltd and are not included in standard project pricing.

Requesting Editable Templates

  • If the client requires access to a working template (e.g., Canva, Photoshop, After Effects files), this must be requested in writing.

  • A separate licensing fee may apply for the transfer of editable files, depending on the complexity of the project and the level of customisation.

Third-Party Assets & Licenses

  • If a design includes third-party assets (e.g., fonts, stock images, pre-purchased templates), the client is responsible for ensuring they have the appropriate licenses to use these elements outside of the final design.

  • Templates or assets purchased and modified as part of a project are licensed for use within the final deliverables only and may not be redistributed or resold.

Ongoing Use & Modifications

  • Clients may use the final deliverables as intended but may not claim ownership of the original template or design process.

  • If modifications or adaptations are needed in the future, the client may either:

    1. Request an update as a new project.

    2. Purchase a transferable version of the template (if available).

Training & Ongoing Support

Handover & Initial Guidance

  • Upon project completion, a handover session may be provided to familiarise the client with the final deliverables. This session covers basic usage and access but does not include in-depth training or ongoing support.

  • Clients are responsible for ensuring their team members understand how to use the provided assets.

Ongoing Support & Maintenance

  • Ongoing training, troubleshooting, or updates are not included in standard project pricing.

  • If the client requires continued assistance beyond the handover, support is available through a paid maintenance plan or can be booked as a separate service.

Updates to Terms & Conditions

Changes to These Terms
We reserve the right to update or modify these Terms & Conditions at any time. The latest version will always be available at www.conceptfusion.co.uk/terms-of-service, and it is the client’s responsibility to review these terms periodically.

If any significant changes affect existing clients, we will notify them via email or through their registered account. Continued use of our services after any updates constitutes acceptance of the revised terms.
